Information We Collect

We may collect information you provide directly and information generated when you use the Service:

  • Account data: such as email address and authentication identifiers when you sign up or log in.
  • Purchase history: records of products you buy and subscription status, processed through our payment provider.
  • Study progress: some progress may be stored in your browser (local storage) on your device in addition to any server-side data tied to your account.
  • Content you submit: for example, license or certificate images you upload for verification features, where applicable.
  • Insurance policy details: provider, policy number, coverage amounts, and expiry dates you enter when using the Insurance Tracker.
  • Waiver information: type, number, location, and expiry dates you enter when using the Waiver Tracker.
  • Invoice data: client names, email addresses, invoice amounts, and line items you create when using the Invoice Generator.
  • Client contact information: name, email, phone, and company you store when using the Client CRM.
  • Certificate of Insurance (COI) files: documents you upload through the Insurance Tracker are stored securely in your account.
  • Study search: questions you submit and AI-generated answers may be cached to improve response speed. Cached questions and answers are not linked to your personal identity in the cache.

How We Use Information

We use the information we collect to:

  • Create and manage your account and authenticate you.
  • Process purchases, deliver digital access, and maintain records of entitlements.
  • Send transactional or service-related messages (e.g., receipts, renewal reminders where applicable).
  • Operate, secure, and improve the Service and respond to support requests.
  • Operate Pro portal tools including job tracking, invoicing, client management, insurance tracking, and waiver tracking.
  • Generate and send invoices via email when you use the Invoice Generator.
  • Store and serve Certificate of Insurance files when you share COI links with clients.

We do not sell your personal information.

Data Storage

Your account data and files you upload (such as license photos for verification or Certificates of Insurance) are stored securely in your account. Data is protected using industry-standard practices; no method of transmission or storage is 100% secure.

AI-Powered Features

VLOSready uses AI to power the study search feature. When you submit a question it may be sent to Anthropic's Claude API for processing. Questions and answers are cached to improve response speed — cached answers are not linked to your personal identity. Your daily usage count is tracked to manage service limits. We do not use your questions to train AI models.

Third Party Services

We rely on trusted processors to operate the Service. These may include:

  • Stripe — payment processing. Stripe’s privacy policy governs payment data they handle on our behalf.
  • Resend — transactional and service email delivery.
  • ElevenLabs — optional AI text-to-speech narration; lesson text may be sent to their API when you use that feature.
  • Anthropic — where we use AI-assisted processing (e.g., certificate or license text extraction from images you choose to upload), content may be sent to Anthropic’s services subject to their terms and privacy policy.

Each provider processes data according to their own policies. We encourage you to review their documentation.

Cookies

We use cookies and similar technologies in a minimal way—primarily for session and authentication (e.g., staying logged in). We do not use third-party advertising or cross-site tracking cookies for behavioral marketing as part of this Policy’s scope.

Data Retention

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Account and purchase records may be kept for a period consistent with tax and business requirements. You may request deletion of your account; some records may be retained where required by law.

Your Rights

Depending on where you live, you may have rights to access, correct, or delete personal information, or to object to or restrict certain processing. You may request deletion of your account or request a data export by contacting us at the email below. We will respond in line with applicable law.
